This guide provides clear explanations for the key calculations used in the Clock Card Report, helping you understand technician performance metrics such as utilisation, efficiency, and productivity.
The Clock Card Report can be found in Workshop > Service Managers Toolkit > Clock Card Report
Key Calculations
1. Utilisation
Formula:
(Hours on Job ÷ Hours Attended) × 100
What It Measures:
The percentage of attended time that a technician spent working on productive jobs.Example:
If a technician attended for 8 hours and worked on jobs for 6 hours:
(6 ÷ 8) × 100 = 75% Utilisation
2. Efficiency
Formula:
(Hours Scheduled ÷ Hours Taken) × 100
What It Measures:
The technician’s efficiency in completing jobs relative to the time taken.Example:
If a technician was scheduled for 5 hours but completed the job in 4 hours:
(5 ÷ 4) × 100 = 125% Efficiency
3. WIP Adjustment
Formula:
Hours on Job – Hours Taken
What It Measures:
The net difference between the hours worked on jobs invoiced today and hours clocked but not yet invoiced.Example:
If 6 hours were clocked on jobs, but only 5 hours were invoiced:
6 – 5 = 1 Hour WIP Adjustment
4. Variance
Formula:
Hours Taken – Hours Scheduled
What It Measures:
The difference between the time taken to complete a job and the time initially scheduled for it.Example:
If 4 hours were scheduled but the job took 5 hours:
5 – 4 = +1 Hour Variance
5. Productivity Efficiency (Prod. Efficiency)
Formula:
(Hours Scheduled ÷ Hours Attended) × 100
What It Measures:
The percentage of attended hours that were scheduled for productive work.Example:
If a technician attended for 8 hours and had 6 hours scheduled:
(6 ÷ 8) × 100 = 75% Productivity Efficiency
Summary of Metrics
Metric | Formula | What It Measures |
---|---|---|
Utilisation | (Hours on Job ÷ Hours Attended) × 100 | % of attended time spent on productive jobs. |
Efficiency | (Hours Scheduled ÷ Hours Taken) × 100 | Efficiency in completing scheduled work. |
WIP Adjustment | Hours on Job – Hours Taken | Net difference between clocked and invoiced hours. |
Variance | Hours Taken – Hours Scheduled | Time difference between scheduled and actual hours worked. |
Prod. Efficiency | (Hours Scheduled ÷ Hours Attended) × 100 | % of attended time allocated to scheduled jobs. |
Importance of These Calculations
- Utilisation and Efficiency: Helps identify how effectively technicians are using their time and completing jobs.
- WIP Adjustments: Ensures accurate tracking of hours worked versus hours invoiced.
- Variance: Highlights scheduling accuracy and potential bottlenecks.
- Productivity Efficiency: Provides insight into how well technician attendance aligns with scheduled work.
