How to Find Unallocated Cash on the Sales Ledger

Unlike the purchase ledger, where unallocated payments are recorded individually, the sales ledger combines all unallocated receipts into a single lump sum. This can make it harder to identify which payments remain unallocated.

Step-by-Step Process

To identify and isolate unallocated cash on a sales ledger account:

  1. Run a Cleared Transaction Report
    Open the customer account in question and run a cleared transaction report.

  2. Export to CSV
    Right-click within the report and select Export to CSV.

  3. Filter for Unallocated Payments
    In the exported file:

    • Filter by the PAY reference type.

    • Identify any PAY lines that do not allocate against an invoice.

    • These are the transactions contributing to the unallocated cash balance.

    • Totalling the columns should come back to the value sitting in unallocated.
